Who this notice covers

This notice applies to visitors to this website and to business contacts we approach about our services.

The data we process, and why

Website visitors. If you contact us through this site (for example a contact or demo-request form), we process the details you provide (such as your name, business email, company and message) to respond to you and discuss our services. Our lawful basis is our legitimate interest in responding to enquiries, and/or taking steps at your request before any contract.

Business-to-business marketing contacts. We contact UK estate and letting agencies to introduce our product, aipartner.london. Where we email a named individual at a business, we process their business contact details (name, role, business email) for direct B2B marketing. We take these details from the agency’s own public website.

• Lawful basis (UK GDPR): legitimate interests — promoting our services to businesses for whom they are relevant. We have assessed that this does not override the interests or rights of the individuals concerned, because we use business-context data the business itself published, contact people only in their professional capacity, keep the data minimal and briefly, and offer an immediate and permanent opt-out.
• Electronic marketing (PECR): we send B2B marketing email only to corporate subscribers (companies and LLPs).

Your right to object / opt out

You can object to our use of your data for direct marketing at any time and we will stop. Every marketing email includes an unsubscribe link, and you can also reply asking us to stop. When you opt out we record this permanently so we do not contact you again.

How long we keep data

We keep business marketing contact details for up to 3 months, after which non-responding contacts are deleted. Records needed to honour an opt-out are kept indefinitely, because we must remember not to contact you again. Enquiry correspondence is kept as long as needed to deal with your enquiry and any follow-up.

Who we share data with

We do not sell your data or share it with third parties for their own marketing. We use service providers to operate our systems (such as email/hosting infrastructure), who process data only on our instructions. Our mail server is hosted in Gravelines, France (within the EEA); this is covered by UK adequacy regulations, so no additional transfer safeguard is required.

Cookies

This site does not set cookies beyond those strictly necessary for it to function. If this changes we will update this notice.

Your rights

You have the right to access your personal data, to have it corrected or erased, to object to or restrict its processing, and to data portability, in the circumstances the UK GDPR provides. To exercise any of these, contact us at the address above.

Complaints

If you have a concern you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we’d appreciate the chance to resolve it first.

We may update this notice; the “last updated” date shows when it last changed.
